Cancellation & Refund Policy
Clear rules for both fans and athletes. By completing a booking on Clubby you agree to the terms below.
For Fans
Athlete-Initiated Cancellations
If the athlete cancels your booking at any time, you receive a 100% refund to your card (typically 5–10 business days).
Fan-Initiated Cancellations
100% refund to your card
The full amount of your booking is refunded to your original card. Refunds typically arrive within 5–10 business days.
50% refund to your card
Half of the booking amount is refunded to your original card; the remaining half is kept by the platform to compensate the athlete’s reserved time.
No refund
The booking can still be cancelled, so the athlete knows you will not attend, but the amount is not refunded. It goes to the athlete, who kept this time for you and can no longer offer it to anyone else.
Why different tiers? Athletes reserve dedicated time for your call. Late cancellations prevent them from using that time for another booking. The 24–48h tier shares that cost between you and the athlete.
Gifted Bookings
A gift is an offer until it is accepted. Until the recipient claims it, the booking stays the buyer's: they can attend it, and they can cancel it under the tiers above with the refund coming back to them. Nothing is refunded automatically if nobody ever claims it — the call remains the buyer's and goes ahead as booked.
Once accepted, a gifted booking can be cancelled by the recipient like any other, under the same time-based tiers above, but the refund goes to the person who paid for it, not to them. Cancel more than 48 hours ahead and the buyer's card is refunded in full; between 24 and 48 hours, half; under 24 hours, nothing is refunded and the amount goes to the athlete who kept the time. The recipient never paid, so they never receive anything back. The buyer is emailed either way. The buyer's payment is only released to the athlete once the call takes place.
For Athletes
No Cancellation Penalty
You can cancel a booking at any time — including right before the call — with no fee and no penalty on your earnings.
When you cancel, the fan is fully refunded to their card.
A note on reliability
Although there is no financial penalty, repeated or last-minute cancellations may affect your visibility on Clubby and your ability to be booked. Cancel as early as possible and communicate with your fans through the platform.
Disputes & Support
If you believe a cancellation outcome was incorrect, or if you experienced issues during a call, contact our support team from your dashboard. We review disputes within 48 hours.
